Pinnakle OS · pinnaklemedia.app

The app that runs the studio.

We could not find a project tool made for a video studio, so we built one. Every cut, carousel and post is a card with a status, an owner, a deadline and a QC checklist. Clients get a portal instead of a WhatsApp thread. It has run Pinnakle Media since September 2026 and it is open to other agencies.

How a video moves

Six statuses. No video is ever “somewhere”.

Every card walks the same six steps. The board on the left shows the whole studio; a client’s portal shows only their own cards. A card that sits in one status too long turns red on the founders’ screen.

Raw receivedYour footage lands in Drive. A card is created with the brief, the brand kit and the deadline.
EditingAn editor is assigned. Timestamps and hooks are on the card. Shorts are due in 24 hours.
QCA second person runs the checklist: captions, fonts, hook, music licence, past corrections.
Your reviewYou get a link. Leave a note on the frame or approve with one tap. Round limits stop endless loops.
ApprovedFinal files are named, sorted by platform and dropped in your folder. Covers and captions attached.
PostedScheduled at the same hour on every platform you run. The posting log and the Friday report update themselves.
What is inside

Built for the way a studio actually works.

Nothing here is a generic task tool with a video label on it. Each screen exists because the studio needed it in a real week.

🗂️Work

One board per client, one for the studio

Drag a card between the six statuses. Each card holds the brief, the raw link, timestamps, the brand kit, the editor, the round count and every note the client ever left.

✅QC

A checklist on every cut

Captions match the audio, fonts and colours match the kit, the hook sits in the first two seconds, the music is licensed, and nothing the client corrected before has come back. A cut cannot reach the client until it passes.

🔗Review

Review links instead of file transfers

The client opens a link, watches, leaves a note on the exact second, or approves. Notes go to the editor as a task. Approved files land in the client’s Drive folder with the right names.

📅Calendar

Posting calendar and the daily update

What goes out where and when, for every client, with the daily client update drafted from the board so the social media manager sends it in one tap.

📈Reports

Friday report, written by the board

Videos shipped, on-time rate, revisions, what is in QC and what is planned next week. The founders see the same numbers per editor and per client.

🎓Team

Onboarding, learning and check-ins

A thirty-day learning path for new editors, a weekly check-in, leave and HR in one place, and a guide page for every screen so nobody has to ask how it works.

🧲Leads

Leads and speed to lead

Enquiries from the website and outreach land in one list with a timer. The first reply is measured in minutes. This is where PinnakleFlow plugs in for clients who want the full follow-up system.

💬Chat

Rooms per client and per division

Threads, DMs and a huddle room with a meeting note written for you afterwards. The chat sits next to the card it is about, so context is never lost.

🤖Ask

Ask the board a question

“What is stuck for Yoshi?” “Who has room on Thursday?” The assistant answers from the board and only sees what the person asking is allowed to see.

Your portal

What a client sees.

One login. Your cards, your calendar, your reports, your review links. Nothing from another client, nothing about money or HR.

  • The board for your work, filtered to you, in the same six statuses
  • Review links with frame-level notes and one-tap approval
  • The posting calendar for the week, with the daily update
  • The Friday report and every report before it
  • Your brand kit: fonts, colours, logo, the words we never use
  • A room to talk to your team, with the history kept

Who sees what

Five roles, one app.

Every screen is filtered by role. The same board shows a founder the whole studio and an editor only their own three cuts.

FounderThe whole studio

What is stuck, who is overloaded, which client needs a call, money and HR. Only founders see pay.

ManagerTheir division

Editing managers see the QC queue and editor load. The social media manager sees the calendar and the daily updates.

Editor / designerTheir own cards

In order of deadline, with the brief, the kit and the raw footage one tap away. No chasing in chats.

ClientTheir portal

Their board, review links, calendar, reports and brand kit. Nothing about other clients.

Other agenciesTheir own workspace

Pinnakle OS is open to other video and content agencies. Your workspace, your clients, your branding on the portal.

Safe by design

Access without sharing passwords.

Platform access comes through Meta Business Suite roles, YouTube manager roles and OAuth. Pinnakle OS never asks a client for a password, and the team never sees one.

Role-based accessEvery screen and every API call is checked against the person’s role. We run two and a half thousand permission checks on every release.
Your accounts stay yoursInstagram, Facebook, Google and payment accounts are connected under your own logins. Leave, and nothing is held.
Secrets in a vaultThe few keys the studio must hold are encrypted at rest and visible only to the people who need them, with an audit trail.
Hosted close to youDatabase and app servers sit in the same region so pages load fast, and every change is deployed with the full check suite.
